About the Opportunity
Seeking a highly organized, detail-oriented AI Portfolio Operations Analyst to own the operating cadence for enterprise AI tool portfolio management across IT and business teams. This role focuses on running the operating loop after intake submission, tracking, decision, and follow-through loop for AI tool requests—ensuring visibility into usage, spend, renewals, lifecycle status, and ownership across the portfolio. This is an operations-focused role centered on governance, coordination, and execution—not product development.
The ideal candidate brings strong experience in portfolio operations, vendor or IT operations coordination, and SaaS lifecycle management. They are comfortable working with datasets and exports (Excel/Sheets; SQL a plus), reconciling inputs across systems, and translating ambiguity into structured tracking and reporting. This individual partners cross-functionally with Procurement, Finance, ITAM, Security, and business stakeholders to drive renewals, right-sizing, consolidation, and retirements—while delivering concise, executive-ready portfolio reporting and maintaining momentum across decisions.
Where you will make an impact
- Run the intake → tracking → decision → follow-through loop for AI tool requests across business units (single place to track status, owners, and next steps).
- Work directly with business stakeholders and IT owners to clarify needs, confirm ownership, and keep requests moving to closure.
- Maintain the AI tools portfolio: catalog, business/IT owners, renewal runway, lifecycle status, usage/spend signals (where available), and key notes/risks.
- Coordinate with Procurement, Finance, ITAM/asset management, Security, and app owners to support renewals, right-sizing, consolidation, and retire decisions.
- Define and maintain standard portfolio metrics and fields, validate data quality, and resolve gaps across sources.
- Create and deliver concise portfolio reporting and communicate portfolio status and outcomes (“what changed / what’s next”) to stakeholders; light internal marketing of impact.
- Track POC outcomes in the TPM loop: promote/kill criteria captured, owner/funding path confirmed, and shutdown steps tracked when applicable.
- Partner with the AI Ops Integration Engineer to automate evidence collection and improve the reliability of portfolio signals over time.
What you will bring
- 3–6 years in portfolio ops / vendor ops / IT operations coordination / ITAM-adjacent analysis / procurement analytics (or similar).
- Strong cross-functional coordination: runs cadences, drives actions to closure, knows when/how to escalate.
- Comfortable working with exports and datasets (Excel/Sheets; SQL is a plus) and performing practical reconciliation/analysis.
- Able to translate messy inputs into structured fields and requirements for tracking and automation.
- Clear, concise writing for executive-ready updates and stakeholder communications.
