DATA & ENROLLMENT MANAGER

POSITION OVERVIEW

Bricolage Academy is seeking a highly organized, detail-oriented, and service-driven Data & Enrollment Manager to support the accurate and efficient management of student data, enrollment, records, reporting, and assessment processes.

The Data & Enrollment Manager is responsible for the day-to-day management and maintenance of student information within PowerSchool and other school data systems. This position also manages student enrollment and registration processes, maintains student records, supports required state and federal reporting, and plays a key role in the administration of state and school-based assessments.

The ideal candidate understands that excellent data management is essential to excellent school operations. This individual must be comfortable managing large amounts of information, identifying and correcting discrepancies, meeting firm deadlines, supporting families, and ensuring that school leaders and staff have accurate information when they need it.

The Data & Enrollment Manager is a member of Bricolage Academy’s operations team and works closely with school leadership, teachers, student support teams, families, and external partners.

ESSENTIAL DUTIES & RESPONSIBILITIES

Student Information Systems & Data Management

  • Manage the day-to-day operation and maintenance of Bricolage Academy’s PowerSchool Student Information System.
  • Enter, update, review, and maintain student demographic, enrollment, attendance, scheduling, academic, and other required data.
  • Ensure student information is complete, accurate, and updated in a timely manner.
  • Conduct regular data-quality checks and correct errors or inconsistencies.
  • Generate PowerSchool reports for school leaders, teachers, operations staff, and other stakeholders.
  • Support state, federal, district, and internal student data reporting.
  • Assist with data certification and reporting deadlines.
  • Troubleshoot routine PowerSchool issues and coordinate more complex issues with appropriate internal or external support.
  • Support staff members in the effective use of PowerSchool and other student data systems.
  • Maintain appropriate confidentiality and security of student information.

Enrollment & Registration

  • Manage day-to-day student enrollment, registration, and re-enrollment processes.
  • Serve as a primary point of contact for families throughout the enrollment and registration process.
  • Collect, review, and maintain required student enrollment documentation.
  • Process new enrollments, withdrawals, transfers, and changes to student records.
  • Manage applicable seat verification and citywide enrollment requirements.
  • Maintain accurate records of available seats, enrolled students, withdrawals, and enrollment status by grade.
  • Monitor enrollment against grade-level capacity and organizational enrollment targets.
  • Follow up with families regarding missing enrollment or registration documentation.
  • Support student recruitment, enrollment, and retention initiatives as needed.
  • Ensure families receive timely, accurate, and welcoming service throughout the enrollment process.

Student Records & Registrar Functions

  • Maintain complete, accurate, organized, and compliant student records.
  • Request records for newly enrolled students and process records requests for students transferring from Bricolage.
  • Maintain required documentation in student cumulative records.
  • Regularly audit student records for completeness and accuracy.
  • Ensure records are appropriately stored, secured, and accessible to authorized personnel.
  • Support compliance with applicable student-record confidentiality requirements.
  • Assist with records requests, audits, monitoring visits, and other compliance activities.
  • Maintain accurate documentation of student withdrawals and transfers.

Attendance Data

  • Monitor daily student attendance data for completeness and accuracy.
  • Ensure absences, tardies, early dismissals, and attendance corrections are appropriately documented.
  • Work with school staff to resolve missing or inaccurate attendance information.
  • Maintain required attendance documentation and records.
  • Produce attendance reports for school leadership and other teams as requested.
  • Support the identification of attendance trends and students requiring additional intervention.

State & Federal Reporting

  • Support the preparation, review, and submission of required student information to applicable state, federal, district, and authorizing agencies.
  • Maintain awareness of reporting deadlines and ensure required information is submitted on time.
  • Review reports for errors and work with appropriate staff to resolve discrepancies.
  • Assist with student data audits and certification processes.
  • Maintain supporting documentation associated with required submissions.
  • Collaborate with academic, special education, operations, and other teams to reconcile information across systems.

Assessment & Testing

  • Serve as a member of Bricolage Academy’s Test Coordination Team.
  • Support the administration of required state assessments, including LEAP.
  • Assist with testing schedules, student rosters, testing groups, staff assignments, materials, accommodations, and testing logistics.
  • Support staff training related to testing procedures and security.
  • Maintain accurate assessment records and documentation.
  • Assist with the administration of academic screeners and benchmark assessments throughout the school year.
  • Support the collection, organization, and dissemination of assessment results.

School-Level Data & Reporting

  • Generate recurring and ad hoc reports for school leadership and staff.
  • Support the collection, analysis, and dissemination of academic, attendance, enrollment, and operational data.
  • Assist school leaders and teams in accessing the information needed to make informed decisions.
  • Support the preparation of quarterly and annual data reports.
  • Identify data discrepancies and work collaboratively with staff to resolve them.
  • Assist with maintaining schoolwide dashboards, trackers, and data-management tools.

Report Cards & Academic Records

  • Manage the operational components of the quarterly report card process.
  • Establish timelines and communicate report card deadlines to staff.
  • Review grade and student information for completeness before report cards are finalized.
  • Troubleshoot data and system issues affecting report cards.
  • Coordinate the creation and dissemination of report cards.
  • Maintain accurate historical academic records for students.

Data Systems

Support the administration and effective use of school data systems, including, as applicable:

  • PowerSchool
  • FastBridge
  • SchoolRunner
  • Google Workspace
  • Pick My Kid
  • Other student information, assessment, enrollment, and reporting platforms adopted by Bricolage Academy

The Data & Enrollment Manager will provide staff with routine technical assistance and training related to these systems and work with school leadership to improve their effectiveness.

FAMILY & STAFF SUPPORT

  • Provide responsive, professional, and courteous service to Bricolage families.
  • Communicate complex enrollment, records, and data requirements in clear and accessible language.
  • Respond promptly to staff requests for student information and reports.
  • Maintain professionalism and discretion when handling sensitive or confidential information.
  • Build strong working relationships across academic, operations, student support, and leadership teams.
  • Approach family and staff concerns with patience, empathy, and a solutions-oriented mindset.

QUALIFICATIONS

Required

  • Bachelor’s degree from an accredited institution.
  • At least two years of experience in school operations, student data, enrollment, registrar services, or a related area.
  • Experience using PowerSchool or another student information system.
  • Strong proficiency with Microsoft Excel and Google Workspace.
  • Strong technology skills and the ability to quickly learn new information systems.
  • Excellent organizational and time-management skills.
  • Demonstrated ability to manage multiple projects, priorities, and deadlines simultaneously.
  • Exceptional attention to detail and commitment to data accuracy.
  • Strong analytical and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Ability to work effectively with students, families, teachers, school leaders, and external partners.

Preferred

  • Advanced PowerSchool experience.
  • Experience with Louisiana student information and state reporting systems.
  • Experience managing school enrollment and registration.
  • Experience serving as a school registrar.
  • Experience coordinating or supporting LEAP or other standardized testing.
  • Experience with FastBridge and SchoolRunner.
  • Experience with data visualization, dashboards, or advanced Excel reporting.
  • Bilingual in Spanish.
