Position Title: Director, Finance & Operations

Position Type: Full-time Role

Compensation: $85-90K

Location: Downtown Miami, (hybrid role, in-person work required 1-2 days)

Start: August 2025

To date, we have worked with 5,000+ young people, provided them with our tuition-free courses, and helped provide work-based internship and learning programs to promote the advancement of underestimated students into technology pathways. Founded in 2014, AOT’s work has been featured in Forbes, CNN, Univision, TechCrunch, BET and other leading outlets.

Who We Are Looking For: ​We are currently looking for a Director, Finance & Operations to join our team full-time. This person will report to the President to ensure AOT is operationally sound from a financial, operations, governance, human resources and compliance perspective. This role is for someone who enjoys finance, accounting, compliance, human resources and strengthening processes and workflows for a growing organization.

Responsibilities include:

Finance and Accounting (30% of time):

  • Manage relationship between AOT and its Bookkeepers. Execute monthly reconciliation, cashflow analysis, internal budget tracking, grants allocations, track on-going budgets to actuals and other financial reporting processes with bookkeepers.

  • Manage and ensure the on-boarding of employees, contractors and students onto payment systems

  • Manage and ensure timely processing of payments/reimbursements to staff, students and contractors

  • Manage the AOT cross-departmental annual budget cycle

  • Collaborate with the Development & Grants Team to create supporting documentation and reports for funders

  • Collaborate with Leadership to oversee the annual audit completed by independent auditor

Purchasing and Orders (30% of time):

  • Manage the ordering process of organizational needs throughout the year (catering, supplies, etc.)

  • Manage the ordering, delivery and arrival of laptops for staff and students throughout the year

  • Manage Bill.com - Spend & Expense for employee spending

Compliance and Policy (10% of time):

  • Help oversee financial systems, operations and governance to ensure compliance and efficiency

  • Enhance internal controls to ensure accountability and transparency of finances and operations

  • Ensure compliance with government regulations (employment, charitable registrations, and more)

  • Oversee insurance portfolio and needs including workers compensation, director’s insurance, etc.

Human Resources Management (20% of time):

  • Manage all aspects of oversight and governance of HR functions

  • Lead all aspects of people, culture, and talent management, including screening & hiring, onboarding, performance management, conflict resolution, professional development, and offboarding

Operations Advisory (10% of time):

  • Provide leadership direction in regards to cost saving, spending analysis and enhance efficiencies

  • Support National Strategy Director with special projects (currently AI implementations)

  • Coordinate and lead monthly all-staff team meetings

  • Collaborate with leadership to assist on projects/deliverables where needed

Qualifications:

  • Experience in Nonprofit or Education sector

  • Experience in finance, accounting, and/or bookkeeping

  • Experience with Gusto, TriNet, Quickbooks, Bill.com, Google suites, and Salesforce

  • Eager to strengthen and build out processes and functions

Hybrid Work Environment & Schedule

AOT is a hybrid organization. Staff work remote from home and from their local office on Tuesdays, with additional in-person days depending on your role. We maintain standard business hours, and team members are expected to be online and available during the workday / set business hours.
